The lease ledger and the tenant balance

Every lease has a ledger of charges, payments and credits. The balance is what the tenant owes. How to read it and where to find it.

What the ledger holds

Ledger entries
EntryExamplesEffect on the balance
ChargeMonthly rent, the service charge, a deposit, a late fee, a utility bill, a repairIncreases what the tenant owes
PaymentA bank transfer, cash, a card payment, a direct debit or a cheque you receivedDecreases it
CreditAn amount credited to the tenant, such as a reduction you agreedDecreases it

Balance = charges - payments - credits, counting only entries that are not voided. A positive balance is what the tenant owes. A negative balance means the tenant has paid in advance.

Where to find it

  • The lease page shows the ledger of that lease, newest first, with the balance at the top.
  • The tenant page shows the ledger and balance across all the tenant's leases.
  • The Rent page shows every lease for a month in the rent roll and every lease that owes money under arrears.

Entries are never edited

A ledger entry cannot be changed once it is recorded. A wrong entry is voided with a reason and entered again, so the ledger always shows what happened and when. See Void a charge or payment.

Note: Each entry records who created it and whether EasyHaus generated it automatically or a person entered it by hand.
